A 10-minute end-of-day close: do cash, stock and orders match?

Check four things before closing each day so missing money or stock is caught the same day

Missing money or stock is easy to fix when found the same day; found at month end, the cause is almost impossible to trace. A short daily close is worth far more than chasing later.

Four checks every day

  1. Cash in the drawer = opening float + cash sales − cash paid out
  2. Incoming transfers against the sales customers paid by transfer — from the banking app, not from slip images
  3. Orders not yet shipped or paid — how many, and who needs a follow-up tomorrow
  4. Your 3–5 best sellers — count them for real against the sheet; no need to count the whole shop daily

Keep it fast

  • Use the same form every day — same fields, same order
  • Record the difference, not just "match/no match" — for example cash short 40 baht, stock over by 1
  • Small differences happen, but shortfalls in the same direction over several days are a signal to find the cause

When things don't match

  • Work backwards from the latest transactions: wrong change, unrecorded sale, credit sale, return
  • Note the cause you find — causes that repeat point to a system to fix, not a person

Transfer slips can be faked — always confirm the money in the shop's banking app before counting a sale as paid

Key points

  • Check cash, transfers, open orders and best sellers daily
  • Record differences as numbers and watch the trend
  • Confirm transfers in the banking app, not from slips
